Seacology is the world’s only nonprofit organization devoted solely to the preservation of island environments and cultures worldwide. Seacology is based in Berkeley, California, but we work with island communities in 60 countries. The Program Assistant works with everyone in our eight-person Berkeley office and with more than 20 field representatives in other countries. There are two areas of responsibility:

Administrative support (approximately 75% of the job)

  • Answer phones, handle correspondence, file, copy, mail, and handle other administrative tasks
  • Help plan and organize Seacology trips: coordinate mailings, track participants, generate invoices, work with travel agents
  • Process donor contributions and prepare acknowledgment letters
  • Maintain donor records in Salesforce
  • Coordinate production of biannual board meeting materials, including managing deadlines
  • Handle logistics of board meetings, annual Seacology Prize Ceremony, and other events
  • Manage office supplies, equipment, and facilities

Program management assistance (approximately 25%)

  • Get budgets, maps, and other required documents for new projects from field representatives
  • Draft and send project grant agreements
  • Track and review narrative and budget reports from Seacology projects
  • Maintain detailed project records in Salesforce and paper files


  • Bachelor’s degree
  • Two years of office experience and proficiency in Word, Excel, and Salesforce
  • Ability to work cooperatively and independently
  • Intense attention to detail
  • Healthy respect for deadlines
  • A sense of humor
  • Excellent communication skills
  • Willingness to make a two-year commitment
  • Preferred: Event and travel planning experience


Salary of $46,000-49,000 depending on qualifications, plus medical, dental, vacation and retirement benefits.
